Virtual Photoshoot terms

The Fashion Guild Ltd – Virtual Photoshoot Project Terms & Conditions

1. Definitions

  • “Client” refers to the individual or organisation commissioning the virtual photoshoot.

  • “The Fashion Guild Ltd” (“TFG”, “we”, “our”) refers to the service provider.

  • “Deliverables” refers to all final images, video, or other agreed creative assets.

  • “Project” means the specific virtual photoshoot and associated creative services outlined in the proposal or quotation.

2. Scope of Work
All work will be carried out as described in the proposal or quotation. Any additional work or changes requested after approval may be subject to a revised estimate, quote, invoice and scheduling, and timeline.


3. Booking & Deposit
A non-refundable deposit is required to confirm the booking. Any remaining balance will be invoiced as per the schedule below. Schedules and project timeline dates are not secured until the deposit is received.


Project ValuePayment Terms:

  • Projects under £200 - 100% deposit payable upfront

  • Projects between £200 – £1,000 - 50% deposit upfront, 50% on completion

  • Project over £1,000 - 50% upfront, 30% midway through project, 20% on completion (standard TFG payment terms).


4. Creative Direction
The creative brief agreed at the outset during client onboarding (including any references, mood boards, or sample looks) will guide the production. TFG retains creative discretion where needed to achieve the agreed visual standard.


5. Revisions

  • The Client is entitled to two (2) rounds of revisions on the selected final images.

  • Revisions include reasonable adjustments to lighting, colour, and cropping.

  • Any major re-shoot, new creative direction, or extensive retouching will incur additional charges at TFG’s standard hourly rate.

  • Revision requests must be submitted within 7 days of delivery, later requests may be subject to additional charges at TFG’s standard hourly rate.

6. Delivery Timeline
Preview or proof images will be delivered within the timeframe stated in the proposal. Final assets will be delivered upon receipt of full payment.


7. Usage Rights
Upon full payment, the Client is granted full and unrestricted rights to use the final deliverables for any purpose, including but not limited to commercial, editorial, digital, or print applications.

  • TFG may use creative material for self-promotion, portfolio, or case study purposes if agreed in writing with the Client prior to publication or display.

8. Cancellations & Rescheduling

  • Cancellations made more than 7 days before the scheduled project start date may be rescheduled once without penalty.

  • Cancellations made within 7 days of the scheduled start date may forfeit the deposit.

  • Postponements to the agreed project start date, or delays during project delivery caused by the Client, may incur additional studio fees. This includes instances where the Client is unable to provide product reference images in advance of the booked start date, or responses to questions in a timely manner.

  • All cancellation or rescheduling requests must be submitted in writing via email to the assigned project contact at TFG to be considered valid.

  • In the unlikely event TFG cancels, the deposit will be refunded in full or applied to a future booking.

9. Client Responsibilities
The Client must:

  • Provide accurate creative direction, brand assets, and any required model/product imagery in advance.

  • Ensure permissions for any products, third-party content or likeness used.

  • Attend any onboarding, or progress meetings (virtual sessions) on time and with adequate connectivity.

  • Respond to questions via email promptly.

10. Liability
TFG will exercise all reasonable care and skill in producing deliverables. However, we are not liable for:

  • Losses caused by software, network, or third-party service failures;

  • Consequential, indirect, or economic loss.
    Our liability shall not exceed the total amount paid for the project.

11. Confidentiality
Both parties agree to keep confidential all proprietary or sensitive information shared during the project.


12. Force Majeure
TFG will not be held liable for delays or non-performance caused by events beyond its control, including but not limited to internet outages, illness, or natural disasters.


13. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
